We built SeoWave for agencies that handle client domains every day. This policy explains what we collect, why we need it, and how we keep it secure — including how checkout data is handled when paid plans are processed by Polar as Merchant of Record.

Payments are handled by Polar

When you purchase a paid plan through a Polar checkout, Polar Software, Inc. acts as Merchant of Record. Polar processes your payment and billing data according to its own privacy policy. We receive limited billing metadata (plan, status, transaction references) to activate your workspace — not your full card number.

1. Overview

SeoWave (“SeoWave”, “we”, “us”) provides AI visibility and SEO audit software for agencies and consultants. This Privacy Policy describes how we collect and use personal data when you visit our website, create an account, run scans, or subscribe to a paid plan.

By using SeoWave, you agree to this policy. If you do not agree, please do not use the service.

2. Who is responsible for your data

For the SeoWave application and website, we act as the data controller for account, project, and audit data you submit.

For payment transactions, Polar Software, Inc. (548 Market St, PMB 61301, San Francisco, CA 94104, United States) acts as Merchant of Record and processes payment-related personal data under its own terms and privacy policy.

3. Data we collect

We collect information in these categories:

  • Account data: name, email address, authentication identifiers, organization membership, and workspace settings.
  • Project and scan data: website URLs, brand metadata, competitor domains, crawl results, audit scores, AI prompt runs, recommendations, and generated reports.
  • Usage and technical data: IP address, browser type, device information, pages viewed, feature usage, and error logs.
  • Billing metadata: subscription plan, billing status, Polar customer and order references — not full payment card details.
  • Communications: messages you send to support and feedback you voluntarily provide.

4. How we use your data

We use personal data to:

  • Provide, operate, and improve the SeoWave platform and audit pipeline.
  • Authenticate users, enforce plan limits, and secure multi-tenant workspaces.
  • Run website crawls, SEO audits, and AI visibility checks you request.
  • Generate scores, recommendations, and client-ready reports.
  • Process subscriptions and communicate about billing, renewals, and service updates.
  • Monitor reliability, prevent abuse, and comply with legal obligations.
  • Send product communications where permitted; you may opt out of non-essential marketing emails.

5. Legal bases (EEA/UK users)

Where GDPR or UK GDPR applies, we rely on: (a) contract — to deliver the service you signed up for; (b) legitimate interests — to secure, improve, and operate SeoWave in a way that does not override your rights; (c) consent — where required for optional analytics or marketing; and (d) legal obligation — where we must retain or disclose data by law.

6. Service providers and subprocessors

We use trusted infrastructure providers to run SeoWave. They process data only on our instructions and under appropriate safeguards:

  • Supabase — authentication, database, and file storage.
  • Vercel — application hosting and delivery.
  • Trigger.dev — background jobs for long-running audits.
  • Polar — Merchant of Record checkout, subscriptions, invoicing, and tax compliance.
  • OpenAI (when configured) — AI model inference for visibility checks.
  • Upstash — caching, rate limiting, and operational locks (when enabled).
  • PostHog — product analytics (when enabled).

7. Cookies and similar technologies

We use essential cookies to keep you signed in and remember your language preference. When enabled, analytics cookies help us understand product usage in aggregate. You can control non-essential cookies through your browser settings.

8. Data retention

We retain account and project data while your account is active and for a reasonable period afterward to comply with law, resolve disputes, and maintain backups.

You may request deletion of your account and associated workspace data subject to legal and billing record requirements. Audit artifacts tied to active subscriptions may be removed according to your plan limits and our deletion process.

9. International transfers

SeoWave may process data in the United States and other countries where our providers operate. Where required, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.

10. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or port your personal data, and to object to certain processing. You may also withdraw consent where processing is consent-based.

To exercise these rights, email us at [email protected]. You may lodge a complaint with your local data protection authority. We respond to verified requests within applicable legal timeframes.

11. Security

We implement technical and organizational measures including encryption in transit, tenant isolation, role-based access, and audit logging. No method of transmission or storage is 100% secure; we continuously work to reduce risk.

12. Children

SeoWave is a business tool not directed at children under 16. We do not knowingly collect personal data from children. Contact us if you believe a child has provided data and we will delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may be communicated by email or in-product notice where appropriate.
